Common Ways to Avoid Data Loss

Hanging up a chart of the precautions (at your eye level), is one thing and faithfully adhering to it, is another ballgame altogether.

‘More and more data recovery is wrought by prayer, than this world dreams of’. You can avoid joining that long list of hopefuls waiting to get their data back if you can ‘follow’ these simple instructions (‘follow’ as in eat, sleep, drink and think).

Regular backup is good for health. However, don’t overdo it, by indiscriminately backing up everything and anything in sight, whenever you feel like it! Decide on the type of backup that suits your data. A full backup is ideal for unstructured data whereas an incremental backup is generally recommended for organised data. Follow a systematic backup schedule and proper rotation of the backup storage media.

Don’t put all your golden eggs in one basket. Especially in the basket, universally known as the C: partition of your hard drive. The C: partition is the default partition where the files and code that represent your computer’s Operating System and other installed software, reside. It also represents an irresistible target, for all those parasites-in-waiting, to achieve their nefarious objectives. When the access to this area is poorly guarded, the malware just swarm in and swamp everything (including your precious data). Relocate copies of your data to the other partitions of your computer’s hard drive. Ensure that you have additional copies of your backed up data on other reliable storage media as well, in alternative physical locations too.

Monitor the actions of any new software, installed onto your computer. New software could be the Trojan horse to bypass your computer’s defences and raze your data to the ground. So get to know reliably, the workings of the software that you wish to install on your computer. If, in doubt, about any new software, just don’t install it. If you must install the new software to your computer, take the risk out of the Russian Roulette by ensuring that you have appropriate software installed on your computer to detect any malafide activity.

Install anti-virus software and firewalls to keep the pests at bay. Regularly download the updates for the installed software, to defend your data against the latest threats from yonder. Use genuine and legal software to obtain periodic software support from the vendors. Do not forget to periodically scan your computer for the hidden saboteurs. Also, scan other data storage objects or electronic files (including email attachments) that are seeking entry into your computer.

Provide proper care for the computer hardware. It is essential that the power supply and earthing for your computer are as per the manufacturer’s specifications. Bringing objects with fairly strong electrical or magnetic fields, within close proximity of the hard drive or data storage device, will wipe your data off the face of the hard disk or storage media. Touching sensitive memory storage devices with objects having pent-up static charge (like human fingers), is the touch of death for your data.

As far as possible, try to ensure a proper working environment for the computer hardware. Dust, falling objects, rough handling, your favourite Diet Coke etc. are all accidents waiting to happen. Air conditioning and minimal dust conditions provide a conducive environment for minimising the opportunities of pollutants, to play havoc with your computer hardware (and consequently your data). Proper environments are proven boosters, for the longevity of your computer hardware.

Don’t forget to periodically check the integrity of your backup data and the storage media, for their readiness to step in and spew out the backup data (intact, of course), in case any disaster strikes the hard drive. You can avoid nasty surprises and prevent irreversible data loss.

Hardware or software, it is the better part of valour to accept your ignorance or inadequacy in dealing with unfamiliar, cryptic messages or strange knocking sounds emanating from your computer. Have these checked out by an expert, rather than attempting to solve the mystery on your own. Quack doctors end up killing the sick patient.

Let these common steps and common sense prevail. Avoid data loss.
